This Privacy Policy describes how Nabil Group of Industries (“NGI”, “we”, “us”) collects, uses, and protects information when you use the NGI Bidding mobile application (“App”). The App is provided for authorized employees and staff only. It is not intended for the general public.

1. Who this applies to

The App is for employees and other users authorized by NGI. User accounts are created and managed by your employer or NGI administrators. The App does not offer public self-registration.

2. Information we collect

When you use the App, we may collect:

  • Account information: name, work email address, phone number (including WhatsApp number where applicable), employee or user identifiers, and credentials used to sign in (passwords are processed securely on our servers and are not stored in plain text on your device).
  • Business and bidding data: information you enter to create and manage bids, such as customer names, products, quantities, prices, payment or delivery dates, and related trading details.
  • Notifications: in-app messages about your bids (for example, when a bid is approved, rejected, or when an offer price is updated), including message title and text.
  • Device information: push notification token and device platform (for example, Android or iOS) when you allow notifications, so we can deliver alerts to your device.

We do not use the App to collect:

  • Precise or approximate location from your device
  • Contacts, photos, videos, audio recordings, or files from your device
  • Advertising identifiers or data for targeted advertising
  • Payment card or bank account details through the App

3. How we use your information

We use the information above to:

  • Authenticate you and manage your account
  • Enable you to submit, view, and manage bids
  • Display bid status and history
  • Send operational notifications in the App and, if you allow, by push notification
  • Maintain security and proper operation of the App

We do not sell your personal information. We do not use App data for third-party advertising or marketing.

4. How we share information

We may share information only as needed to operate the App, including with service providers that process data on our behalf, such as:

  • Hosting and infrastructure providers for our API and databases
  • Expo (Expo Push Notification Service) to deliver push notifications
  • Google (Firebase Cloud Messaging) to deliver push notifications on Android devices

We may also disclose information if required by law or to protect the rights, safety, and security of NGI, our users, or others.

5. Data storage and security

Data is transmitted between the App and our servers using encrypted connections (HTTPS). A session token is stored on your device using secure storage to keep you signed in. We apply administrative, technical, and organizational measures to protect personal information. No method of transmission or storage is completely secure.

6. Data retention

We retain information while your employment or authorized access is active and as needed for legitimate business purposes, including audit, compliance, and record-keeping. Bid and transaction records may be retained after account deactivation where required by law or company policy.

7. Your choices

  • Push notifications: you can allow or deny notification permission in your device settings. The App can still be used for core bidding if you decline push notifications.
  • Account data: core account and bidding data are required for work use of the App.

8. Requests regarding your data (including deletion)

You may request access, correction, deactivation of your account, or deletion of personal data associated with the App. We will process requests subject to legal requirements and legitimate business retention needs (including bid and transaction records).

How to submit a request

  1. Send an email to info@ngibd.com.
  2. Use the subject line: NGI Bidding — data deletion request (or NGI Bidding — data request for access/correction).
  3. Include your full name and the email or phone number you use to sign in to the App.
  4. State whether you want account deactivation, deletion of personal data, access, or correction, as applicable.
  5. We will respond using your authorized contact details and process the request according to company policy and applicable law.

What we typically delete or deactivate

  • Your App login account (deactivation where full erasure is not possible immediately)
  • Push notification tokens associated with your account
  • In-app notification history tied to your user account

What we may keep

We may retain certain information where required for legal, regulatory, audit, or legitimate business purposes, including bid and transaction records related to commodity trading. Some records may be retained in anonymized or archived form as allowed by law and NGI policy.

Data is not automatically deleted within a fixed number of days unless stated in writing for your case. Retention follows NGI internal policy and applicable law.

9. Children

The App is not directed to children under 13 years of age, and we do not knowingly collect personal information from children.

10. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and change the “Last updated” date above. Please review this page periodically.
